Transfer/donate your membership
- Who can transfer a membership?
- I can't attend - how can I find a buyer for my membership?
- What about my voting rights?
- So how do I transfer/donate my membership?
You can check your membership status here so long as you said you were content for this information to be shown on our website. Also please remember, if you asked to be listed by your badge name that's what you will have to use in the searchbox.
This page shows your ‘Loncon 3 Membership Type’ and your ‘UK in 2014 Bid Status’. Only the former is relevant to the convention itself. If it says ‘Adult’ then you have a full adult attending membership.
At this stage the ‘UK in 2014 Bid Status’ is largely of historic interest, to recognise those individuals who gave the bid financial support. It’s only relevance is if you were a ‘Friend’ or ‘YA Friend’ of the bid and you have not yet converted that into an ‘Adult’ or ‘Young Adult’ membership. To do that, see upgrade your membership below.
See here if you’re unsure what the different types of Loncon 3 membership are.
Alternatively you can contact memberships@loncon3.org.
If you are a Supporting member of Loncon 3 you can upgrade your membership to an Attending Adult or Attending Young Adult by completing the form here.
Changes of address (CoAs), whether postal or email, should be notified to us promptly so that we can ensure you continue to receive your publications and other convention information.
CoAs can be emailed to our memberships team at memberships@loncon3.org. The same email address should be used for any questions. Alternatively they can be sent by post to our regular office address.
When providing a CoA, please include the following information:
- Names, existing address and contact information (including phone and email if available) and membership number(s) of all the people who are moving, including children.
- New address information, including full postal address, email address and phone number.
Including the full contact information will help us to validate that the request is genuine. The person submitting the request should if possible contact us from the same email address that they used to register, for the same reason.
To nominate online for the Hugo awards, you will need your membership number and PIN (this is being emailed in batches to eligible nominators who have requested email communications, and was printed on the address sheet for the posted copies of Loncon 3’s PR2). You can email hugopin@loncon3.org if you need to request a PIN.
Loncon 3 is VAT registered. Your attending membership includes VAT. If you are VAT registered and need a VAT invoice please email a request to treasurer@loncon3.org.
Free memberships for members of the 1939 and 1957 Worldcons
Loncon 3 is offering complimentary full memberships to all surviving members of either the first Worldcon (1939) or the first London Worldcon (1957). See here for more details.
Transfer/donate your membership
Loncon 3 regrets that we are not able to refund membership fees. However, members are free to sell or transfer their memberships to others so long as we are properly notified and the following rules are adhered to.
This includes donating their membership to the non- profit group Con or Bust, who will use donated attending memberships to support increased diversity at the convention. To find out more about the benefits of donating click here.
Who can transfer a membership?
Attending memberships, including child and family memberships, may be transferred either prior to the convention or at the time the member registers at the convention.
Memberships and admissions that entitle a person to attend the convention (attending, child, day admission) may not be transferred after the member has registered in person at the convention. Nor may they be transferred after the convention, even though some rights - such as the right to nominate for the 2015 Hugo Awards - will still exist at that point.
I can't attend - how can I find a buyer for my membership?
There are many ways to sell a membership, especially via the Internet, and it is usually possible to recover most or all of your original membership fee, especially if you bought your membership early on when the rates were at their lowest.
The best place to start is our Facebook page. Other places to consider include SF-related newsgroups and mailing lists, and even auction sites such as Ebay.
Full adult supporting and attending memberships include the following voting rights:
- The right to vote in the Nominating and Final Ballots for the 2014 Hugo Awards.
- The right to vote in the Nominating and Final Ballots for the 1939 Retro Hugo Awards
- The right to vote in the Nominating Ballot for the 2015 Hugo Awards.
- The right to vote in the Site Selection for the 2016 Worldcon.
Important: our policy on transfers is that any unused voting rights associated with a membership are automatically transferred with that membership.
This means that you cannot choose to retain any unused rights when transferring your membership, although you can, where appropriate, use them before the transfer takes place. If you do use some of your rights in this way, the person taking over your membership cannot then take them over, i.e. used rights do not transfer and any vote you make will automatically continued to stand.
So how do I transfer/donate my membership?
To transfer/donate a membership, Loncon 3 must receive an authenticated request to transfer the membership, giving the name and contact information for both the transferor (seller) and transferee (buyer). If you are donating your membership to Con or Bust the transferee should be simply listed as ‘Con or Bust’.
If a membership is being sold, it is up to the purchasers to find out if voting rights on the membership have been exercised.
However the transfer is notified to us, we need the following information to be provided by the transferor:
- Names, addresses (including email if available) and membership number(s) of seller(s)
- Names, badge names (if required) and addresses (including email and phone details if available) of buyer(s); or simply the name ‘Con or Bust’ if being donated.
Send this information to memberships@loncon3.org or by post to our regular office address.
To help us check that transfer requests are genuine, sellers should where possible contact us from the email address they used to register, and provide full contact information that we can validate against our records.
